Start with the document goal

PDF work becomes easier when the desired result is clear. Decide whether the document needs to be smaller, editable, searchable, combined, separated, translated, protected, or summarized. Then use the matching tool rather than applying several unrelated conversions.

Common PDF concepts

  • OCR adds a searchable text layer to scanned pages.
  • Compression reduces file size, often by changing image quality or resolution.
  • Redaction permanently removes selected content; drawing a black box is not enough.
  • PDF/A is a preservation-oriented format with stricter file requirements.
  • Digital signatures and visual signatures are different: a visual mark does not prove certificate identity.
