Large PDFs are often caused by high-resolution images, repeated scans, embedded fonts, or unnecessary pages. Compression works best when you choose a target purpose first: email, web upload, printing, or archival storage.
Decide what quality you need
For email and web sharing, a balanced reduction is usually enough. A stronger reduction can help when a provider has a strict upload limit, but small text and photographs may lose detail. Keep the original before compressing.

More ways to reduce size
Remove pages you do not need with Split PDF, then compress the smaller document. If multiple reports should be shared together, merge only the required sections with Merge PDF instead of attaching every source file.
Compression is not archival preservation
A smaller PDF is not automatically a better long-term archive. For preservation workflows, use PDF/A conversion when your requirements call for a constrained archival format, and keep the original source in a controlled location.
